Program Description:

Forge Institute was recently awarded a Department of Defense funded STEM project to provide educational outreach, instruction and opportunities in science, technology, engineering, and math (STEM). The program’s goal is to raise interest and improve the knowledge and skills of at-risk youth in STEM fields with a hands-on minds-on approach. Desired outcomes are to provide a highly educated and skilled workforce that can answer Arkansas growing STEM career demand.

Position Description:The Office Manager is responsible for managing administration duties for academy staff including maintaining records, correspondence and files.The office manager will also be responsible to fill in for instructors as needed.

Your responsibilities as a member of our team, will include but are not limited to:

  • Represent Forge Institute and its programs through community outreach engagement, including attending relevant cyber and tech community groups, conferences, etc.

  • Receive visitors and telephone calls

  • To work from a rough draft, to type a variety of material, including correspondence, program and presentation materials, as needed

  • To receive all incoming correspondence daily, review all outgoing correspondence for format and accuracy

  • To make copies of Students log books and other classroom materials, packets of program materials, and collate and bind as needed

  • To maintain quality control of official documents including travel vouchers, purchase orders, contracts, schedules, and other documents designated by the Director

  • To maintain program records and files as directed, and to assist in consolidating data for end-of-year reports, or other reports as needed

  • To maintain purchases log, including categorizing purchases for end-of-year reports

  • To assist in monitoring students during restroom and lunch breaks

  • To ensure proper maintenance of office equipment, including copiers, printers, laminator, grading system, phones, binding equipment, and other clerical aids

  • Assure all office, presentation, or student computers have current applications necessary for mission success

  • Research product features and reviews for purchase requests for new technology equipment

  • Coordinate with vendors for technology support, including warranties, product or part replacement, etc., in order to maintain proper working order of all electronic equipment

  • Serve as liaison for staff members to solve technical problems as they arise in the classroom, office, or at presentation venues

  • To agree to random drug testing for the duration of the term of employment.

  • To participate in training designated by the STARBASE Arkansas Director, as deemed necessary for mission success

  • Have or be able to gain and maintain a Security Clearance

  • To assist in all other related activities and duties as deemed necessary for mission success by the Director

This position may involve some travel within the State of Arkansas, and occasionally could involve travel outside the State of Arkansas. Furthermore, you must adhere to internal security policies and requirements.

Preferred Qualifications:

  • A bachelor’s degree in STEM field or education.

  • The ideal candidate is highly organized and familiar with basic office applications.

  • Must relate well with students and adults, and functions well in a highly collaborative, fast-paced environment.

  • Professional client-facing demeanor, comfortable in the classroom.

  • Strong, clear verbal and written communication skills.

  • Capable of completing tasks on time without supervision.
